1. Overview
This Privacy Policy explains how R Gold NY, LLC, doing business as OTTO Mastery (“OTTO Mastery,” “we,” “us,” or “our”), collects, uses, shares, and retains personal information in connection with the OTTO product and related websites, applications, and services (collectively, the “Service”).
By using the Service, you acknowledge this Privacy Policy. Our Terms of Use also apply.
OTTO is currently beta software used in higher-education courses and related institutional pilots. Practices may evolve as the product matures; when they do, we will update this Policy and the version/effective date shown above.
2. Scope and roles
OTTO is typically offered through an educational institution or course team. In that setting:
- Your institution and instructors decide who is invited, how assignments are configured, and who may review course activity for legitimate educational purposes.
- OTTO Mastery provides the Service and processes information to operate AI coaching, storage, security, and support features.
Where information constitutes an education record under FERPA or similar law, we process that information as directed by the institution in connection with providing the Service. Institutional policies and agreements may impose additional requirements.
3. Information we collect
The information we collect depends on how you use the Service and how your course is configured. It may include:
Account and contact information
- Name, email address, and profile details you provide
- Password credentials or, if enabled, Google authentication identifiers and basic profile information
- Invite codes and account activation status
Course and roster information
- Organization, course, role (for example student, instructor, or administrator), and enrollment relationships
- Roster information imported by instructors or administrators, such as name and email
Assignment and content information
- Assignment configuration, instructions, coaching guidance, and instructor materials (including supporting documents and protected teaching notes)
- Student submissions and uploaded files (for example PDF, Word, or PowerPoint), and text extracted from those files when needed for coaching
- Chat messages, session goals/status, summaries, themes, duration, modality used, and related session metadata
Voice and technical information
- Real-time voice audio streamed during live coaching sessions for speech recognition and response generation
- Device, browser, IP address, and diagnostic information needed to operate and secure the Service
- Essential cookies and similar storage used for authentication, invite handling, and interface preferences
We do not currently operate advertising pixels or third-party marketing analytics on the Service.
4. How we use information
We use information to:
- create and authenticate accounts and deliver invite/reset emails;
- provide AI coaching conversations, summaries, themes, and course-level analytics;
- enable instructors and authorized institutional users to review submissions, transcripts, and related session outputs;
- operate, secure, troubleshoot, and support the Service;
- improve OTTO using deidentified or aggregated information that is not reasonably linkable to an individual student or identifiable course content; and
- comply with law, enforce our Terms, and protect the rights, safety, and security of users, institutions, and OTTO Mastery.
We do not sell personal information, and we do not use the Service for targeted advertising.
5. Voice, transcripts, and AI processing
When you use voice mode, your microphone audio is streamed in real time to voice infrastructure and speech services so the coach can understand you and respond. OTTO does not currently retain a separate audio recording of the session. The transcript generated from the conversation, together with summaries, themes, and related session data, is retained in the Service.
Text and voice coaching content, assignment materials, and relevant uploaded text may be sent to AI and speech providers to generate responses and summaries. Identifiable student or course content is processed to provide the Service. We do not use identifiable student or course content to train generalized foundation models for unrelated purposes. We may use appropriately deidentified or aggregated data to improve OTTO’s product experience.
Before starting a conversation, the Service asks students to confirm that the session transcript may be retained and reviewed by the coach and instructor as part of the assignment. That per-session confirmation is separate from account-level acceptance of these policies.
6. Education records and FERPA
Submissions, transcripts, summaries, and related course activity may be education records maintained for your institution. Where FERPA applies, we process such records to provide institutional services and as otherwise directed by the institution. Authorized instructors and institutional administrators may access information needed for teaching, coaching, evaluation, and administration.
Requests related to education-record access, amendment, or institutional retention should generally be directed first to your educational institution. We will coordinate with the institution as appropriate.
8. Retention
We retain personal information for the life of the relevant account unless deletion is requested or directed earlier, subject to institutional direction, backup copies, security/fraud investigations, dispute resolution, and legal retention obligations.
Institutions may also ask us to retain, export, or delete course data in connection with a term, pilot, or account lifecycle action. Some residual copies may remain in encrypted backups for a limited period until those backups rotate.
9. Your choices and requests
Depending on your role and applicable law, you may request access to, correction of, or deletion of personal information we maintain about you. Students and instructors can often update basic account details through the Service or by contacting their institution. Because much of the data in OTTO is course-related, we may need to coordinate deletion or access requests with your institution.

11. Security
We use administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please use a strong unique password and notify us of suspected unauthorized access.
12. Where information is processed
The Service is operated from the United States. Personal information may be processed and stored in the United States and in other locations where our service providers operate. If you access the Service from another country, you understand that information may be transferred to the United States, which may have different data-protection rules from your jurisdiction.
13. Children and age limits
The Service is intended for higher-education users who are at least 18 years old. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected information from someone who is not eligible to use the Service, contact us and we will take appropriate steps.
14. Changes
We may update this Privacy Policy from time to time. When we do, we will post the revised Policy with a new version and effective date. Material changes may also be communicated through the Service or by email where appropriate. Continued use after the effective date constitutes acceptance of the updated Policy, except where applicable law or an institutional agreement requires a different process.
